EDUCATIONAL TOURS/FIELD TRIPS POLICY
NAME OF THE SCHOOL
The name of the school where this policy shall apply is Gondolikhethwa Christian School.
2. PREAMBLE
2.1. Short title and commencement date
This policy shall be referred to as Gondolikhethwa Christian School's Educational tour/ Field trips policy. The date of application shall be 01 January 2007.
2.2. Policy and legal framework
Educational tours/field trips at Gondolikhethwa Christian School shall be guided by the following:

National Education Policy Act 27 of 1996.
2.3. Scope of application
This policy applies to the following stakeholders:
2.3.1. Governing Council
2.3.2. Teaching staff
2.3.3. Parents and guardians
2.3.4. Learners
2.4. Definitions
2.4.1. Educational tour: A tour organized in order to learn when visiting places, e.g. places of interest, museums, historical sites, industries, etc.
2.4.2. Field trips: A journey made by a group of people in order to study something in a practical way.
2.5. Introduction
Gondolikhethwa Christian School believes that a learner should be educated as a whole. We believe that theoretical knowledge works well when supplemented by practical experiences and visiting places where evidence could be found. Because of our conviction, educational tours and field trips form part and parcel of learning. Educational tours and field trips are compulsory for all the learners.
2.6. Objectives of this policy
The following are the objectives of this policy:
2.6.1. To intergrate theoretical knowledge with practical experience
2.6.2. To familiarize learners with (realia) reality
2.6.3. To acquaint parents, guardians, learners and teaching staff with the importance of learning outside the classroom.
2.6.4. To acquaint stakeholders with rules and regulations regarding educational tours and field trips
3. ORGANISING THE TOUR
3.1. Seeking quotations from transport companies.
The tours committee shall follow the following procedures when seeking quotations
3.1.1. Make a formal request for quotations from at least three bus companies.
3.1.2. Quotations should be sought six month before the tour or field trip is undertaken
3.1.3. Ask for a roadworthy certificate
3.1.4. Hire the bus company that meets the minimum requirements laid by the school.
3.2. Responsibility of the parents
With regard to the organization of the tour, parents are responsible for the following:
3.2.1. Paying the stated tour fees
3.2.2. Signing the indemnity form
3.2.3. Providing the required utensils and food
3.2.4. To take the child to and from given bus stations.
3.3. Preparing questionnaires
The tour committee shall be responsible for the following:
3.3.1. identifying places of interest and historical sites
3.3.2. Setting questionnaires related to what learners will learn
3.3.3. Distribution of questionnaires and collection thereof
3.3.4. Supervision of the marking of questionnaires
3.4. Accommodation
The tour committee shall be responsible for the following:
3.4.1. Seeking accommodation from companies with good reputation
3.4.2. identifying good accommodation with affordable rates
3.4.3. identify whether the company provides catering or not
3.4.4. If the company does not cater, the committee shall draw a budget for food.
4. LEARNING MATERIAL
All learners are expected to bring along the following learning material while on the tour or field trip:
4.1. A ball point
4.2. A scribbler
4.3. A questionnaire provided by the school
4.4. A bible for reference
4.5. Where possible, a map for the area.
5. ATTIRE
Prescribed attire will be used while on educational tours or field trips
6. RESPONSIBILITY OF A LEARNER WHILE ON TOUR
All learners are expected to do the following:
6.1. To respect rules and regulations laid down by the school
6.2. To complete questionnaires
6.3. To take down notes
6.4. To look after his/her property, i.e. clothes, bedding, money, etc.
6.5. To use prescribed attire.
7. PROHIBITION
7.1. Learners are forbidden to use alcohol and drugs
7.2. Quarrelling and fighting is forbidden
7.3. No stereos or music systems is allowed during the tour
7.4. Stealing other learners property is forbidden
7.5. Learners are not allowed to carry along arms (dangerous weapons)
7.6. Learners are prohibited from engaging in sexual activities.
8. CELLPHONES
Only grade 8-12 learners may carry cellphones while on tour, but teachers will not be responsible for their safety.
9. DISCIPLINARY STEPS AGAINST LEARNERS WHO VIOLATE SCHOOL RULES WHILE ON TOUR
The following disciplinary steps shall be taken against learners who violate school rules:
9.1. Class suspension after the tour (2) days
9.2. Suspension from undertaking tours for a period of 2 years
9.3. Expulsion from school depending on the seriousness of the offence
9.4. Counseling by the principal and parents
9.5. Stereos which will be found in the possession of learners will be confiscated
9.6. Cellphones which will be found in the possession of Grade R - grade 7 learners will be confiscated.
